Exhibition Staffing: What Booth and Registration Roles Actually Need
Exhibitions and trade shows staff differently from a single-day event — the same roles often need covering across several consecutive days, sometimes with different headcounts on different days depending on expected footfall.
Registration needs consistency more than headcount
A registration desk that changes staff every few hours creates a worse first impression than one slightly understaffed but consistent. Where possible, keep the same people on registration across the full run of the show.
Booth staff need product knowledge, not just presence
Unlike general event staff, booth staff are often expected to represent the exhibitor's product or brand in conversation with visitors. Brief them specifically on what they're representing, not just on schedule and logistics.
Plan for uneven days
Exhibition footfall is rarely flat across the full run — opening day and a marquee session day usually need more floor staff than a quieter mid-week day. Structure headcount and pay by day, not as a flat rate across the whole event.
Have a floor lead who isn't tied to one booth
A dedicated floor lead who can move between booths and registration catches problems that a booth-specific staff member, focused on their own area, might miss.
