A multi-day Indian wedding isn't one event — it's several, often at different venues, each needing a different mix of staff. Treating the whole thing as a single staffing problem is usually where things start to go wrong.

Break it down by function, not by day

Hospitality and guest management need a different kind of person than backstage logistics or vendor coordination. Rather than hiring 'wedding staff' as one undifferentiated pool, define the actual roles you need — ushers, hospitality, logistics runners, coordination leads — and staff each separately.

Plan for the handoff between functions

The riskiest moments in a multi-function wedding are the transitions — when one team wraps up a sangeet and another needs to be ready for the next morning's ceremony. Make sure staffing plans account for rest and travel time between functions, not just headcount per function.

Build in a backup plan for no-shows

With this many moving parts across several days, at least one no-show is close to guaranteed. Decide in advance how a gap gets filled — whether that's an on-call backup list, a shift-swap process, or simply over-hiring slightly on functions with the least margin for error.

Keep pay structured, even for favors

Even when staff are hired through personal connections, unclear pay is the single most common source of post-wedding friction. Agree on rate per function, in writing, before the first function starts — regardless of how the hire came about.
