Wedding Vendor Coordination: Getting Staff and Vendors on the Same Page

A wedding typically has hired staff working alongside external vendors — caterers, decorators, photographers — who answer to their own teams, not to you directly. Without deliberate coordination, these two groups often work past each other rather than together.

Share the schedule with everyone, not just your own staff

Vendors need to know the run of show as much as your hired staff do, especially around timing-sensitive moments like entrances or meal service. Don't assume the vendor has a schedule that matches yours unless you've actually confirmed it.

Name a single point of contact for vendor-facing issues

When a vendor has a logistics question mid-event, they need one obvious person to go to — not a guess about which staff member might know the answer. Make that person known to vendors in advance, not just to your own team.

Walk the venue together before the event

A pre-event walkthrough that includes both hired staff leads and key vendor contacts surfaces conflicts — competing space needs, timing clashes — while there's still time to fix them.

Debrief with vendors too, not just staff

Vendors often notice coordination gaps that your own staff wouldn't think to mention. A short post-event conversation with key vendors is worth the five minutes it takes.
